Time tracking

How the day gets recorded — fast for employees, clean for payroll.

Voice clock-in

Employees speak a punch — 'clocking in on the Miller job' — and confirm before it's recorded. No kiosks, no shared iPad by the door, no paper time cards. A tap works too.

Meal and rest tracking

Breaks are tracked to the minute. Nudges land before a meal is late so it can still be taken on time. If a break is missed, cut short, or skipped by choice, the reason is recorded and the required one-hour premium is added automatically.

Location at punches only

Location is captured at the moment of a clock-in or clock-out — never continuously. A missing location flags the punch for review instead of blocking the employee.

Bilingual employee app

The employee app runs in English or Spanish, chosen per employee. Nudges, prompts, and confirmations all follow that setting.

Overtime the California way

Daily overtime past eight hours, double-time past twelve, weekly overtime past forty, and the seventh-consecutive-day rule — layered together the way California requires, with no hour ever counted at overtime twice.

Two pay rates and task pay

Configure a second rate by day of week or by task. The correct rate is picked at clock-in, and overtime is paid at the weighted-average regular rate for the workweek.

Commissions and bonuses

Nondiscretionary commission and flat-sum pay are folded into the regular rate the way the law requires, with the retroactive overtime true-up that dual pay creates — not left off the check.

Salaried and exempt

Salaried non-exempt employees are paid a fixed weekly amount with overtime layered on correctly. Overtime exemption is set per employee — because salaried is not the same as exempt — and defaults to non-exempt until an exemption is documented.

Paid sick leave

Sick pay is priced by the method you elect — the workweek regular rate, or the 90-day lookback that smooths out commission timing — applied consistently and on the record.

Payroll, records, and trust

From a closed pay period to a file your provider can read — with a trail that holds up.

Time off and sick leave

Employees request time off from their phone. Admins approve or decline from the inbox, balances update, and a team calendar shows who's out.

Receipts and reimbursements

Snap a photo of a receipt from the employee app. Paidsley reads the vendor, date, and amount and attaches it to the pay period as a reimbursement.

Data-quality checks

Before a pay period can close, Paidsley flags the things that quietly produce wrong pay — an unclosed shift, a zero pay rate, a missing salary — and blocks the close until they're resolved.

Immutable payroll runs

Closing a pay period freezes every number with a full snapshot. Reopening requires a reason and preserves history. Editing a rate afterward can't silently rewrite what was already run.

Payroll export setup

Map your payroll provider's earning codes to Paidsley's pay categories, enter employee identifiers, and Paidsley checks the configuration is complete before you export.

Bring your balances with you

Seed each employee's starting PTO and sick balance from a report exported out of your current provider, so the two systems start reconciled.

Admin portal and roles

Desktop dashboard, per-period approvals, full employee records, a messages inbox, and reports. Assistants run the day-to-day with pay and personal details masked at the database level, not just hidden in the UI.

How does Paidsley handle overtime for employees with two pay rates?

California requires overtime for dual-rate employees at the weighted-average regular rate, computed per workweek. Paidsley calculates it from the rate that was actually in effect at each punch — not a blended average across weeks — and layers daily, weekly-40, and 7th-day overtime without ever counting the same hour twice.

What happens if an employee misses a meal break?

A one-hour premium is added automatically and appears on the payroll record. It is part of the pay period, not a note a manager can quietly remove.

Can a manager edit a punch?

Yes, but nothing is overwritten. Corrections are recorded as new entries linked to the original, and the original stays in the audit trail. Once a pay period is closed, its numbers are frozen — a later rate change cannot silently rewrite history.

Does Paidsley track employees' location all day?

No. Location is captured only at the moment of a punch, not continuously. A missing location flags the punch for review rather than blocking the employee from clocking in.
